At CVI, we are committed to protecting your privacy and handling your personal data responsibly.
This Privacy Policy explains what personal data we collect, why we collect it, how we use it, and your rights under the General Data Protection Regulation (GDPR) and Danish data protection legislation.

CVI is the data controller for your personal data.
Privacy Policy changes over time
CVI will expand over time with its products, business and law material. However, CVI will always make sure to value and respect the privacy of every customer. We highly recommend that you occasionally check these policies to keep yourself updated for any changes as well as to update your contact information, if necessary. Please note that if you do not contact us or if CVI for some reason cannot get in contact with you, CVI will delete all your contact details within 5 years. If you disagree with any new policy changes and do not wish your information to be subject to the updated changes, you can contact us to close your account (cvi.my) or inform us you wish to have your contact details deleted. Singers enrolled on our courses will have to accept having a cvi.my account to communicate and have access to teaching material and schedules. Complete Vocal Institute will not provide any of your personal information to any other company, individual or third party for marketing purposes without specific consent from you.
YOUR RIGHTS as a costumer under General Data Protection Regulation (GDPR)
Some of the key changes in the new GDPR is to give every individual more control in how companies and businesses process their personal data. Below are the most relevant rights:
The right to be informed:
as a customer or member of the CVI staff you have the right to be informed about the data processing activities CVI carry out. This information must be short, concrete, transparent, written in a clear and understandable language and easy to read. CVI will keep this information on our website so you always can revisit and read this information again.
The right to access information:
as a customer or member of the CVI staff, you have the right to make a subject access request. CVI will ask you to specify the information you want to access and send you the requested data within 30 days. If the request is complex, CVI will extend this to 60 days.
The right to rectification:
as a customer or member of the CVI staff, you have the right to correct your data if anything is inaccurate or incomplete. CVI will comply with your request within 30 days. If the request is complex, CVI will extend this to 60 days.
The right to be forgotten/have your details erased:
as a customer or member of the CVI staff, you have the right to have your personal data erased where the personal data is no longer necessary in relation to the original purpose for which it was collected/ processed or if you withdraw your consent or object to the processing. CVI will comply with your request within 30 days.
The right to data portability:
as a customer or member of the CVI staff, you have the right to get your personal data moved, copied or transferred from one IT system to another one in a safe and secure environment. CVI will use CSV files. CVI will comply with your request within 30 days. If the request is complex CVI will extend this to 60 days.
The right to object:
as a customer or member of the CVI staff, you have the right to object to data processed in relation to scientific/historic research and direct marketing. You also have the right to object and send a complaint to the Danish authorities. (datatilsynet.dk)
Information Access and exposure
CVI only discloses information (to a third party) when:
- Complete Vocal Institute has the customer’s explicit consent to share the information.
- Complete Vocal Institute shares customer information with affiliated service providers who process data on Complete Vocal Institute’s behalf.
- Complete Vocal Institute shares customer information with affiliated service providers to fulfil customer product or service requests.
To improve the effectiveness and quality of the CVI’s services, you can help the institute by notifying us of any changes or updates regarding your personal details.

3. What information we collect
Depending on how you interact with CVI, we may collect, use, store and transfer different kind of personal data about you:
Contact information
- Name( includes first name, last name, username, nationality, title)
- Address
- Email address
- Telephone number
- Date of birth
- Gender
Course information
- Course registrations
- Financial data( billing address, bank account, payment cards details)
- Profile Data(username and password, purchases or orders made by you, survey response)
- Singing background, your interest, health information you choose to share about you and your voice
- Profile data includes your username and password(ex. Cvi.my and other) purchase and order history, interests and preferences, as well as any feedback or survey responses you provide.
- Audio and video recordings you choose to submit.
- Photos you choose to provide/submit.
- Teachers sharing notes about singers singing progress.
- CVI retains exam test results so long as these are required of CVI to fulfil accreditation requirements posed by official accreditation bodies, (e.g NCFE, CACHE, or similar).
- Al information you choose to provide about your voice(online & in person)
- Technical data(IP address, login data, browser type, location, browser plug in)
- We collect and use aggregated data (such as statistical or demographic data) for various purposes. This data may be derived from personal data but does not identify you and is therefore not considered personal data. However, if aggregated data is combined with your personal data in a way that could identify you, it will be treated as personal data and handled in accordance with this Privacy Policy.
- Communicating with you through social media platforms.
Information collection and use through CVI’s website
You do not have to give us any personal information to use CVI’s website. However, if you wish to take advantage of some of the more bespoke, personalized services that CVI provides (e.g., online sign-up for our singing course), you will need to provide certain information.
The types of information we collect through our website and other platforms are described below. By using our website, you consent to the collection and use of any personal information in the manner described.
CVI does not sell or share your information with anyone outside the institute or transfer this information other than the below mentioned third party. We use your information to improve our customer service and for sending direct marketing mails for upcoming courses and news, if necessary, we may employ the services of a third party to help us in certain areas, such as website hosting, online services or collaborating with an IT company.
However, CVI will control, and be responsible for, the use of your information.
When you visit our website, we automatically process information about you and your use of the website. This information will typically be which type of browser you use, which search terms you use, your IP address, including your network location, and information about your computer. In addition, CVI’s Cookie Policy applies when you use the website.
The purpose is to optimize the user experience and CVI’s function, to generate useful and accurate statistics, on the basis of the information we receive from you through your use of our website, to carry out personalized marketing, including retargeting via Facebook, Instagram, Google and Youtube, if you have consented to marketing cookies.
If you have already consented to marketing cookies on the website, CVI uses Facebook Pixels and Google technologies on completevocalinstitute.com to collect data for use in optimizing our ads outside our website. This means that if you consent to marketing cookies when you visit our website, Facebook and Google receive information about your IP address, your web browser, information about your device, the websites you visit, the purchases you make, the ads you see and the way you use our website. CVI use Google analytics, which is a free web analytics service that provides statistics and basic tools for search engine optimization and marketing purposes. CVI use google analytics to understand costumer behaviour, improve our homepage and optimize customer service and the customer experience.

Course registration/ CVI sign up for a course from the website.
Registration of contact information in connection with registration for our singing courses, workshops, solo lessons, educations, etc. happens, so that we can send you information about the event/training and invoice as well as for an internal overview of course participation, certifications etc.
When a customer wishes to attend one of our courses, they will complete a registration sign up form. During registration, customers are required to give their contact information (such as name, address, phone number, email address, date of birth, gender, pictures/videos you chose to send us, recordings of your singing. CVI also collects through the sign-up information about your history/career goals as a singer/performer/artist as well as information about your health status related to your voice and other related health information you choose to give us(ex. Family and personal history, illness effecting your singing). We use this information and share only this with our teaching staff to help you best possible when you attend a singing course (ex. you might have a voice condition we may have to be aware of when we are teaching you technical in singing). We use a figure for internal monitoring of progress on various levels, technical, artistic, musical etc. so we can track each singer’s progress.
You choose yourself what to share with us. We do however, through our signup system obtain your explicit consent to use and share personal information while you attend a course or have a solo or rehabilitation lesson or other.
CVI will not share any of your health information (you chose to provide us with when you attend a course or solo lesson, testsinger, voice rehabilitation session, or when contacting us) with any third party outside CVI, unless we have your explicit consent. However, may we disclose this information if it is required by law or required by a court order/legal process or judicial proceeding.
If you use our signup system enables CVI to process and fulfil your enrolment online so that we can contact, you about events for which you have expressed interest. The information is stored in a protected database and is necessary for CVI to keep for communication with singers while they attend a course. It is also necessary, to transfer singers into different groups. While signing up for a course you also sign up for CVI.my which is an online platform where teachers and singers can communicate and access teaching material and related schedules.
Only the Authorised CVT Teachers can optionally provide demographic information (such as company name and position). If they do provide such information, CVI is able to use it to provide a more personalized experience on our website as well as refer potential customers to the Authorised CVT Teachers. CVI will not hand out any of the Authorised CVT teachers’ contact details without explicit permission; they will only provide demographic information.
If any of our customers need to correct or update their contact information they can, at any time, request access to this information and will be provided with a link where they can see all content as well as update the information (name, address, email, phone, photo we collect when singers start our courses).
Course Diplomas
After the standard retention period of five (5) years, CVI may retain your first and last name for up to an additional ten (10) years for the sole purpose of verifying and reissuing course diplomas, maintaining educational records, and confirming your graduation status. No other personal data will be retained for this purpose. If you do not wish us to retain your name after the initial retention period, you may request its deletion at any time by contacting us.
Newsletter
Personal data is stored only for as long as necessary to fulfil the purpose for which it was collected or until the requested service has ended (e.g. a newsletter subscription).
Teachers sharing notes on singers’ progress
The teachers at CVI share a logbook on each singer’s technical progress to make sure we help each singer as effectively as possible. By continuing the development from the previous sessions, we gain the benefit of providing many teaching perspectives to the singer and different approaches. In the teachers’ notes, we use a figure for internal monitoring of progress on various levels, technical, artistic, musical etc. so we can track each singer’s progress and make sure they develop in the direction they want.
Contact by phone or email
CVI will now and again contact you with information about product announcements, newsletter, updates and special offers(direct marketing mails). Complete Vocal Institute assumes the customer’s acceptance of this policy when they accept our terms and conditions at the point of sign up for a course, or when they contact the institute. When an outside customer contacts CVI by email or phone, CVI will always make sure to get specific consent to keep personal information (email or phone number) to allow us to get in contact with the customer and help them in the best way possible. Should CVI not hear from the customer again, all contact info will be deleted within 1 year. You can, at any time, unsubscribe from such communication by contacting the Institute in writing via info@shout.dk

When you purchase a product or course, we collect payment information necessary to complete the transaction.

5. Legal basis for processing
Under the GDPR, CVI processes personal data based on one or more of the following legal grounds:
- Performance of a contract:
– Customers sign up for all courses incl. solo lesson, rehab sessions and test singers
– Customer orders any product (book etc.)

- CVI’s legitimate interests
The primary legal basis is GDPR Art. 6(1)(a) and (b) and(c), GDPR Art. 6(1)(f) and GDPR Art. 9(2)(a). CVI processes your personal data on a lawful basis under GDPR, including where processing is necessary for the performance of a contract with you. This is in accordance with GDPR Art. 6(1)(b). In practice, this means we use your personal data to manage your course registration, provide access to teaching and course materials, handle payments, and communicate with you about your participation in the program.
Where we process special categories of personal data, including voice-related health information, we always do so in accordance with applicable GDPR requirements and with your explicit consent where required.
Customers attending ex. our rehabilitation courses or anyone who book a rehabilitation session or other course our primary legal basis is GDPR Art. 6(1)(a) and (b) and GDPR Art. 9(2)(a).
6. Sharing your information
We never sell your personal data.
We only share information when necessary:

- where you have given your consent

8. International Data Transfers
Some of our service providers are located outside the EU/EEA, including in the United States. Where personal data is transferred internationally, CVI ensures that appropriate safeguards are in place in accordance with the GDPR, such as the EU-U.S. Data Privacy Framework (where applicable) or the European Commission’s Standard Contractual Clauses (SCCs), or another lawful transfer mechanism.

Online payments are securely processed through Farpay or Paypal
- If the customer chooses to use PayPal, they provide their credit card details directly to PayPal. Therefore, the privacy policy of PayPal will apply as provided on PayPal’s website.
Payment information is handled within a PCI-certified secure payment environment that complies with international security standards.
10. Photos, Videos and Recordings
As part of our educational activities, you may choose to provide:
- Singing/talking recordings
- Videos
- Photos
During courses, concerts and other events, CVI may take photographs or video recordings of you and your voice.
We take a picture of every singer who attend a CVI course. This picture of the singer and name CVI have displayed in our internal system; our database, forum and our digital group schedule. The picture and name is not shared with any outside third party but only for the institutes administrative staff and the CVI teachers. Please email us at office@shout.dk if you do not wish your picture to be there.
During CVI daily life and concerts we may take pictures and do video recordings – We might use these images for Marketing advertisement for our website or other media.
Where required by law, we will always ask for your consent before using identifiable photos or recordings for marketing purposes. You may withdraw your consent at any time.
CVI may use AI-based tools, including OpenAI’s ChatGPT, to assist with content creation, translation, and marketing materials(picture and video editing). CVI takes appropriate steps to ensure that such processing complies with the GDPR.
11. Social Media
CVI communicates through social media platforms including:

- TikTok
- Xiaohongshu (RedNote)
During CVI daily life and concerts we may take pictures and do video recordings – We might use these images for Marketing advertisement for Facebook, website or other media.
If you interact with us on these platforms, your personal data may be processed by the platform providers according to their own privacy policies.
Some platforms may transfer or process personal data outside the EU/EEA, including countries with different data protection standards.
